We understand that there are endless options out there for your big day, and we would love to be at the top of that list! Our personal wedding coordinators are just a phone call away and are eager and willing to answer any questions you may have to help you begin the planning process. Some things to keep in mind for your initial wedding appointment:
- Sit down with your fiancé and decide on a budget that works for both of you. This will help when it comes to deciding on what day to have your wedding and also in choosing the many different packages that we offer. Having a budget in mind is crucial when it comes to looking at prices and estimating a final wedding cost.
- Draft a possible guest list to come up with an approximate number of guests. The final number is an important factor when it comes to availability and determining the appropriate reception facility to accommodate your guests.

We are happy that you have decided on Woodloch for your wedding! From menu decisions to décor ideas, your wedding coordinator will be here for you every step of the way. Feel free to refer back to this page as a planning tool.
Deposit Schedule:
- Any available date may be held as a courtesy for up to ten days.
- To secure a date, a deposit of $1000.00 is required.
- A second deposit of $1000.00 is due six months prior to your wedding.
- The remaining balance is due the night of your wedding.
Refund Policy:
- All deposits are non-refundable unless an event of equal or greater value is booked for the scheduled date and time.
Confirmation:
Once you have confirmed, you will receive a confirmation letter stating the date and timing of your event along with other pertinent details. As you progress through the planning stage and other details are confirmed, you will be issued new confirmation letters to always ensure you and your planner are always up to date on your event schedule.
Recommended Vendors:
Once your venue and date are set, the next step is choosing all of your vendors and additional services. Vendors can include photographers, videographers, florists, DJs, bands, and more! We are happy to provide you with a list of qualified vendors who can help add to your special day.
Taste Testing:
Woodloch is proud to offer personal taste testings upon request four to six months before your wedding date. The taste testing is a great way to help you decide what options you would like to include when preparing your menu. A taste testing may be scheduled through your wedding coordinator.
Final Detail Appointment:
In the last month of your planning, an appointment will be scheduled with your wedding coordinator to go over any final details for your big day. At this time, you can expect to:
- Go over the outline of events for your day.
- Discuss all décor.
- Finalize your menu and cake design.
- Provide your planner with final numbers and names. Your planner will also have the ability to print place cards for you.
- Design a seating chart.
- Implement any special arrangements that are specific and unique to your wedding.
Rehearsal:
A wedding rehearsal is not mandatory, but may be arranged ahead of time with your planner at your ceremony site. Depending upon availability, rehearsals are usually held the day before the wedding.
At your rehearsal, your planner will run through the processional and recessional with you and your bridal party to ensure everything goes smoothly for the next day. At this time, you are also asked to drop off any materials or decorations that you will be providing on your own. We ask that you provide everything in an organized manner with all items unwrapped and properly labeled. This will enable your wedding coordinator to set up as smoothly as possible.
Rehearsal Dinner:
Woodloch would love to provide you and your bridal party with a great dining experience the night before your big day. We have many different options and banquet packages to accommodate any number of guests ranging from a classic sit down dinner, many buffet-style options, to an outdoor barbeque and bonfire. Catering is also available to our Guest Home accommodations. For any guests staying overnight, ask about breakfast in the morning!
